About the Role
Key duties include reviewing booking checklists, gathering missing items, verifying proposals, contracts, and purchase orders, obtaining customer signatures, creating accurate customer master records, and managing certificates such as insurance and tax‑exempt documents. The administrator also validates credit levels, initiates legal review, follows delegation‑of‑authority procedures, handles government compliance, processes change orders, coaches sellers, and participates in weekly booking progress calls and monthly metrics reviews. • Process customer orders and ensure booking packages are completed within 30 days. • Review booking checklists, gather missing items, and push back to salespeople when needed. • Verify proposals, contracts, and purchase orders for accuracy and obtain customer signatures. • Create and maintain accurate customer master data in ERP, including new customer creation. • Obtain and validate insurance, tax‑exempt, and performance bond certificates. • Validate credit levels, initiate legal review, and ensure delegation‑of‑authority approvals. • Manage government compliance, change orders, and dispute resolution as required. • Coach sellers on process improvements and participate in weekly booking calls and monthly metrics reviews. • Contribute to annual secured volume by liaising between sellers, sales leaders, BPLs, and support staff. • Monitor market performance and develop targeted improvement plans.

What You Bring
Candidates should have 5–10 years of experience in order processing, office management, AR/AP, or credit, and may have paralegal experience. Proficiency with Windows, Microsoft Office, and Salesforce, along with strong interpersonal, communication, and decision‑making skills, is required.
