About the Role

The Project Coordinator will provide routine administrative support to internal and external project management team members. This position will collect, process, input, organize and file data and documentation from various sources and stakeholders in order to support the administrative, documentation, data, reporting, compliance and communications needs of projects. All activities will be performed in support of the strategy, vision and values of JE Dunn. • Use the WorkSmart responsibility matrix to support business process improvements throughout the project lifecycle. • Collect, process, input, organize, and file project data and documentation according to established procedures. • Process information promptly to maintain efficiency and timeliness. • Provide timely and effective communication to internal and external stakeholders. • Support the bidding process by creating bid invitations, preparing specifications, handling regulatory/compliance requirements, and tracking bid communications. • Assist the award process by issuing bond memos, preparing and executing subcontracts, and granting system access to dashboards. • Organize information into standard formats and maintain documents in the project dashboard, CMiC, electronic signature tools, and other systems. • Coordinate submission of project documentation, prepare routine correspondence, and ensure outgoing materials meet best‑practice standards. • Create and distribute potential change items (PCIs) and requests for information (RFIs), and follow up on pricing and change orders. • Manage project dashboard information and electronically process submittals, pay applications, compliance documents, and change documents. • Track and verify required documentation (badging, certified payroll, diversity reporting, insurance, bonds, lien waivers, affidavits) for compliance before subcontractor payments. • Handle incoming calls and visitors, and provide additional administrative support as needed. • Share subject‑matter expertise to support teamwork and deliver results. • Maintain discretion and integrity with confidential and sensitive information. • Arrange team travel, manage expense reporting, and perform other administrative tasks as required. • Apply critical‑thinking, organizational, and detail‑oriented abilities. • Build collaborative relationships internally and externally.
