  • Maintain files and contact databases
  • Book domestic and international travel arrangements, prepare detailed itineraries and maintain all travel records. Monitor travel throughout trip and be prepared to provide support as needed
  • Review, proofread, and edit documents as well as prepare documents for the executive’s signature, while also tracking deliverables, due dates and deadlines
  • Assist the administrative team with answering phones, sorting mail and other office responsibilities
  • Act as a liaison and point of contact between executive and external contacts including but not limited to other C suite executives, attorneys, partners, property managers, vendors, tenants, and accountants
  • Manage special projects, perform research and present to executive
  • Act as point of contact for investors. Support Executive, CFO and SVP of Legal with managing partnership transfers, partnership communications, and distribution payments, and reviewing tax documents for tax season
  • Perform occasional errands
  • Handle all incoming mail and coordinate accordingly depending on document type and sensitivity
  • Full inbox management: Monitor, respond and dictate email correspondence on behalf of the executive
  • Pay invoices, collect rent, collect loan payments, pay property taxes, insurance payments, collect reimbursements, expense reports
  • Support house management staff with crossover tasks such as taxes, services, insurance payments, etc.

Based out of our beautiful corporate office in Santa Monica, this role requires someone who is exceptionally organized, tech-savvy and able to think creatively to solve challenges. The ideal candidate will be adept at collaborating across multiple departments, ensuring seamless communication and support throughout the entire organization.

  • Trusted to manage confidential information with discretion, professionalism, and integrity at all times
  • Light IT troubleshooting
  • Understand priority of requests and tactfully manage relationships between investors and internal departments
  • Experience in managing multiple priorities, administrative coordination, and logistics
  • Strong written and verbal communication skills
  • Bachelor's degree or equivalent experience
  • Proficient in Microsoft Office suite and Apple products
  • Well-organized, detail-oriented, ability to multi-task with great follow-up skills
