The role focuses on managing the complete document lifecycle for Cintra Toll Services LLC, ensuring compliance with policy and contract requirements, supporting invoicing, change orders, budget tracking and escrow documentation, while collaborating with legal, finance, project and department managers and serving as the primary system‑management contact.
- Own and manage the central repository, ensuring contract compliance and lifecycle management.
- Create and maintain an internal contract management system to streamline workflow.
- Maintain organized records of all contract communications, change orders, amendments, and deliverables.
- Ensure traceability of documents to corresponding contracts and improve operational workflows.
- Inform stakeholders of renewals/extensions and track formal communications.
- Review and process new invoices, and support monthly budget reporting and financial tracking.
- Collaborate with the compliance manager to register and make control evidence available.
- Securely store key documents, maintain auditable records, and meet escrow requirements.
- Establish procedures for identification, storage, protection, retrieval, retention, and disposition of records.
- Control receipt, distribution, and tracking of project documents, maintaining distribution lists.
- Administer document control software, manage security groups, train users, and troubleshoot issues.

The position is a full‑time, permanent external contract through a staffing partner, with a quiet office environment that may include occasional loud field conditions. Physical demands include occasional lifting of up to 10 lb, standing, walking, climbing and exposure to varied weather while adhering to safety protocols.
- Bachelor’s degree or equivalent experience.
- Minimum 3 years in contract management and document control.
- Knowledge of contract management systems (preferred) and proficiency with Microsoft Office, SharePoint, Teams, Adobe Acrobat Sign, and Jira.
- Experience with electronic document management software.
- Extremely organized, detail‑oriented, and systematic.
- Ability to work independently and within a self‑managed team.
- Strong multitasking, problem‑solving, and process‑improvement skills in a fast‑paced environment.
- Ability to lift/move up to 10 lb and work in varied field conditions.
