Admin Support

Description

• Deal with all enquires to the project office from Clients, Customers, Galliford Try Facilities Management (GTFM) staff via telephone, email, or direct access/attendance at the project office
• Assist in the generation of GTFM invoices to Clients and other recipients of GTFM services
• Raising of Requisitions, Purchase orders and Sub-Contract orders in Orbit as instructed by the Line Manager.
• Raising and closing of Tasks in the CAFM system for Lifecycle, Variations or Chargeable works as instructed by the Line Manager
• Supporting the Jeopardy & Planning Team for CAFM system updates
• Taking ownership of the financial “on-hold” report, dealing with queries raised off back of report and clearing these within the prompt payment code.
• Supporting the project with Administrational support working along side the Project Operations Teams.
• Supporting the Facilities Management Projects with processing of invoices via the Orbit System.
• Taking ownership of Project related reports, working along side the Finance and Commercial Teams.
• Deal with electronic communications in accordance with Galliford Try Policies
• Taking ownership of invoice trackers and FM Contract trackers.
• Maintain the stock of office consumables, uniform, PPE for use by the GTFM team at the required levels and provide a proper control on the purchase and issue of stationery.
• Receive and appropriately action subcontract or supplier invoices in accordance with Galliford Try policies and procedures.
• Undertake the filing of project and GTFM documents both in electronic and paper format as required

Requirements

• The ideal candidate would need experience as an Administrator, relevant administrative role.
• Excel knowledge is a must.
• They should also be familiar with office software (e.g. MS Office), including word processors, spreadsheets and presentations.
• The Administrator should be highly organised and able to multitask with ease.
