F&B Coordinator - Banquets and Events
Highgate
Highgate is a global investment and hospitality management firm focused on creating value in real estate.
Coordinate banquet events, handling guest communication, menus, BEOs, and logistics.
Implement quick and efficient decisions based on guest and/or banquet needs.
Support the guest process by responding to new inquiries and assisting with application follow-up.
Coordinate any Audio Visual or entertainment options with the Director of Restaurants and Guests for pricing
Speak with guests requiring any special dining reservations over 20 people
Maintains guest relationships to promote repeat business.
Interacts with guests as they arrive and as they leave the restaurant to ensure a positive dining experience.
Discuss payment methods including deposit for these reservations
Coordinate communication for recurring guest events, including email invitations, RSVP tracking, and reminders.
Send Link for deposit and final payment
Approach all encounters with guests and employees in an attentive, friendly, courteous, and service-oriented manner.
Helps the flow of traffic in and out of the restaurant.
Coordinate Food and Beverage Options
Coordinate Time elements of the activities
Manage inbound guest inquiries, including reservation coordination, event attendance, and general information requests.
Comply with Hotel Standards and regulations to encourage safe and efficient hotel operations.
Attend and participate in daily pre-shift meetings.
Serve as the primary point of contact for all guest communication, delivering timely, polished, and personalized service.
Engages guests, and acts as an ambassador of the restaurant in both personality and knowledge.
Gather all information listed on the Banquet Event Order Form
Maintain a calendar of BEOs for the Food and Beverage Team
Participates in any training sessions or departmental meetings.
Send client completed form for them to sign
Creates and maintains a database with local concierges.
Build a Banquet Event Order Form based on client information, pricing, menu options, special requirements, deposit, and final payment options.
Send customized Food and Beverage menus for the group to the client for them to review
Also send an email with the attached BEO to Crescent Food and Beverage Team
Also send a separate email attaching the BEO for them to review, print, and post in their areas.
Send a signed copy of the Banquet Event Order to the Food and Beverage Team and attach it to their calendars of high importance and 24-hour alert for the event.
Call guest back that would have required information concerning the restaurant.
Maintain regular attendance in compliance with Crescent Hotel S tandards, as required by scheduling, which will vary according to the needs of the hotel.
Communicate 72 hours prior to the event to discuss the exact number of attendees and changes
Maintain high standards of personal appearance and grooming, which includes wearing the proper uniform and nametag.
Maintain accurate guest profiles and preferences in ensuring up-to-date contact details and notes.
Maximize efforts towards productivity, identify problem areas , and assist in implementing solutions.

Must be able to cross-train in other hotel-related areas.

High School diploma or equivalent and/or experience in a related field preferred.
Must be able to multitask and prioritize departmental functions to meet deadlines.
At least 1 year of progressive experience in a hotel or a related field is required .
Ability to handle tense situations with employees, coworkers, and customers calmly and rationally.
Must be able to understand and apply complex information, data, etc. from various sources to meet appropriate objectives .
Must be effective at listening to, understanding, and clarifying concerns raised by employees and guests.
Must be effective in handling problems, including anticipating , preventing, identifying , and solving problems as necessary.
Must be able to maintain the confidentiality of information.
Must be able to show initiative, including anticipating guest or operational needs.
Medium work - Exerting up to 50 pounds of force occasionally, and/or 20 pounds of force frequently or constantly to lift, carry, push, pull, or otherwise move objects.
