In this position you will maintain and update the company's qualifications on third‑party vendor portals and government forms, collaborate with multiple departments to achieve business goals, and lead improvements to the qualification submittal process while championing data‑management activities.
The role also includes managing marketing material files, maintaining information systems, and supporting marketing and client development initiatives, with occasional travel for client meetings or industry events.
- Create, update, and maintain business profiles and qualification packages for client prequalifications.
- Ensure all required documents, forms, certifications (e.g., SF330, SF254, SAM.gov, licenses) are current and accurately reflect company capabilities.
- Monitor changes in client prequalification requirements and ensure submissions meet standards.
- Coordinate with internal departments to gather information for prequalification submissions and assist with proposal development and close‑out.
- Generate regular reports on prequalification status, analyze opportunities and project fees, and recommend process improvements.
- Conduct audits of marketing data, including MBE vendors, ESG development, employee licenses, and certifications.
- Communicate with clients to clarify requirements and resolve prequalification issues.

We are looking for a detail‑oriented, proactive candidate who can ensure all documentation is current, accurate and compliant with client requirements, possessing at least two years of experience in marketing, procurement or related fields, preferably within the AEC industry.
A bachelor’s degree in a related field is preferred, and experience with client prequalification platforms, CRM, and SharePoint is a plus. Key competencies include strong attention to detail, excellent communication skills, resourcefulness, proficiency with Microsoft Office and procurement platforms, and the ability to manage multiple tasks independently.
