As an integral member of the H2M team, the Proposal Specialist will be responsible for assisting with the design, execution and production of simple to complex proposal submissions. The Proposal Specialist must be able to prioritize, multi-task, and function effectively as part of a team under multiple deadlines and time constraints.

The Proposal Specialist will create non-technical content and influence design while coordinating project details with the technical staff. They will ensure qualifications and compliance requirements are met while driving the production schedule to ensure accurate and timely completion of each proposal. The successful candidate will be part of an energetic and creative team and will have visibility at all levels within the organization.

• Develop, execute, and produce competitive proposals and qualifications aligned with strategic business goals and best practices.
• Follow the proposal team strategy and meet production schedules for timely responses.
• Analyze RFQ/RFP documents and create compliance and responsibility matrices.
• Track proposal elements, follow up with team members, and expedite as needed.
• Maintain win/loss ratios, short‑list, and interview metrics.
• Update the CRM database with contacts, opportunities, and proposal data.
• Use design tools to produce proposals within templates and standards.
• Write and edit non‑technical sections; retool, edit, and organize technical materials from support groups.
• Prepare required proposal forms (e.g., SF‑330) for local, state, city, and federal entities.
• Keep corporate information current, including job histories, resumes, licenses, and pre‑qualifications.
• Manage staff bios and resumes for proposal use.
• Create business development and sales presentations with PowerPoint in collaboration with technical/management staff.
• Undertake special projects and other duties assigned by the Director of Marketing or Office Manager.

Requirements

H2M architects + engineers, a multidiscipline architectural, engineering, environmental consulting firm based in NY and NJ is looking for a Proposal Specialist with a background in proposals to join our Marketing team in Wall, NJ.

AE experience is a plus, but not required. The successful candidate will be an enthusiastic team member who is a quick learner, able to keep up in a fast-paced environment, and asks questions to develop a deep understanding of the industry and organization.

• Bachelor’s degree in Marketing, Communications, English, or a related field.
• Minimum 5 years of proposal development experience in a professional services firm.
• Strong writing and communication abilities.
• Proficiency with InDesign and Microsoft Office Suite.
• Detail‑oriented, organized, and possess strong interpersonal skills.
• Highly motivated, confident, self‑directed, and eager to learn.
• Collaborative team player able to work with colleagues in multiple offices.
• Ability to travel and work at headquarters when required.
• Skill in partnering with technical personnel on proposal content and appearance.
• Ability to build and maintain internal and external relationships.
• Comfort interacting with individuals at all organizational levels.

Benefits

The salary range for this role is $63,400 - $80,080 annually. The employment offer may deviate from this published range based on a variety of factors, including but not limited to experience, specialty, knowledge, education, geography and/or related certifications – not related to any applicant’s characteristics protected by law.
