  • Understand the relationship between budget, contracts, and invoicing.
  • Monitor office supplies inventory and place orders as needed. This includes but is not limited to weekly kitchen food ordering, monthly office supply ordering, and ad hoc office supply ordering.
  • Organize food and beverage needs for meetings.
  • Consistently cleans and keeps the office tidy including kitchen and communal areas.
  • Prepare the office for client and company meetings.
  • Perform general office duties including answering phones, responding to emails, and managing mail correspondence.
  • Take clear notes during meetings that identify action items and items of record.
  • Manage and coordinate office events/meetings (on and off site).
  • Organize project documents, communications, and scheduling.
  • Prepare clear and actionable emails, updates, meeting agendas, meeting minutes, and follow ups.
  • Support onboarding of new projects and project team members, ensuring all administrative processes are in place.
  • Greet and assist visitors in a professional and friendly manner.

The ideal candidate should have ~1 year of experience in office administration, project coordination, architecture, construction management, or related professional services. The Office/Project Administrator role is tailored to the needs of the office and the needs of each project through administrative coordination, documentation, communication, and logistical management.

Work requires some light lifting (up to 25 lbs.), standing, walking, stooping, kneeling, reaching, keyboarding and repetitive hand motion, grasping, talking, and hearing at normal speaking levels. Work requires visual acuity to read and prepare data and figures, transcribe words and numbers, view information on a computer terminal, read, operate office machines, and determine the accuracy and thoroughness of work.

Applicants should have strong written and verbal communication skills and be prepared to be an active team participant for both internal and external tasks.

The salary range for this full-time role is $60-$65K per year. Ranges are determined by role and level depending on candidate’s experience and qualifications and represent a good faith effort to provide a fair and equitable salary.
