The coordinator will manage the centralized repository for contracts, permits, schedules, drawings, reports, and meeting minutes, draft and distribute official correspondence, assist with vendor onboarding and contract support, and ensure seamless information flow among the Project Managers, Due Diligence team, Project Drafter, and on‑site operational teams.
Schedule and logistical duties involve coordinating internal and client meetings, preparing agendas, attending sessions, distributing detailed minutes and action items, updating high‑level project schedules, monitoring critical path activities, arranging travel, processing expense reports, and supporting procurement of materials and services.
Reporting tasks include compiling data for regular project status reports for executive review, maintaining and following up on critical action item lists, and assisting with the formal project closeout process by archiving documentation, reconciling final accounts, and gathering lessons learned.
ABM is seeking a highly organized and efficient Project Coordinator to provide administrative and operational support to the Project Management team overseeing the rapid deployment of facility services for Waymo's site expansion. This role reports directly to the Senior Project Manager and is critical for maintaining project documentation, managing communication flow, and ensuring the smooth execution of administrative tasks that support the aggressive timelines of the deployment schedule. This position is ideal for an organized professional looking to build a career in project management within a high-speed, technical facilities environment.
Basic qualifications require an associate degree (a bachelor’s in business, communications, or project management is preferred), at least two years of experience in a project coordination or executive support role within construction, facilities management, or corporate real estate, and strong proficiency in Microsoft Office and project management software such as SharePoint, MS Project, Asana, or Smartsheet. Travel up to 10% may be required.
The salary range is $45.00–$55.00 per hour, with eligibility for company incentive or bonus programs and a comprehensive benefits package.
