Description

The Workplace Coordinator role in Washington, DC supports the office by delivering comprehensive facilities management services, high‑quality customer service, and technical support. The position works with the Regional Workplace Ops Manager to maintain operations, manage supplies, equipment, budgets, and ensure compliance with facilities procedures.

• Deliver facilities management services, including reception and office support.
• Answer phone calls, greet visitors, and handle communications and correspondence.
• Provide in‑person, email, and phone customer service for office users.
• Maintain workplace procedures and ensure compliance with corporate policies.
• Resolve daily operational issues and escalate when necessary.
• Follow facilities management processes and record activities.
• Support health, safety, and environmental compliance.
• Manage office overhead budget, track variances, and collaborate on reviews.
• Monitor and replenish office and breakroom supplies.
• Coordinate preventive maintenance and repairs for workplace equipment.
• Maintain and troubleshoot AV equipment for meetings and events.
• Liaise with property management and coordinate access badges.
• Use FM helpdesk, document, and booking systems to log requests and escalations.
• Order and verify computer peripherals for new hires.
• Provide virtual workplace support to other regional offices.
• Coordinate catering, set‑up, and tear‑down for meetings and events.
• Schedule and manage conference‑room bookings.
• Oversee onsite and offsite file storage and archiving.
• Assist with office moves, vendor coordination, and space re‑configuration.

Requirements

• Minimum 2–4 years experience in facilities, administration, or customer service.
• Associate degree or equivalent experience; notary certification preferred.
• Proficient with Microsoft Teams, Word, Excel, and PowerPoint.
• Strong interpersonal, organizational, and basic financial skills.
• Ability to handle changing priorities, deadlines, and work independently.
• Detail‑oriented, proactive, trustworthy, and capable of handling confidential information.
• Eligible for occasional travel; position does not manage others.
