Records Specialist Associate

Description

The Records career focuses on preparing and maintaining infrastructure and pipe records for field use, verifying data completeness, resolving discrepancies, and managing document change control. The role supports compliance, standards, training, regulatory reporting, operating‑procedure management, and provides physical measurement copies so field services can locate infrastructure. Employees work under supervision, follow established methods, and contribute to improvement projects.

• Perform assigned tasks under close supervision to support day‑to‑day Records Department activities.
• Follow appropriate methods and techniques when completing tasks.
• Plan and organize improvement projects with guidance.
• Use established data, reports, and prior results to identify inappropriate variances and concerns.
• Report inconsistent results to supervisor.
• Participate in group meetings.
• Foster an inclusive work environment and value all aspects of diversity.
• Promote a positive team environment.

Requirements

• Bachelor’s degree in engineering, utility‑related field, GIS, surveying, process management, industrial engineering, or similar.
• 0–2 years of relevant experience.
• Equivalent work experience may substitute for a degree.
• Relevant work experience in a public or private utility, healthcare administration, or data management.
• General knowledge of databases and Microsoft Office (Excel, Word, Outlook).
• Strong analytical and problem‑solving skills.
• Ability to multi‑task and handle pressure in a high‑volume, fast‑paced environment.
• Strong written and verbal communication skills.
• Demonstrated commitment to being innovative, accountable, and reliable.
• Experience with Maximo, Oracle, PowerBI, Laserfiche, or other document management systems.
