What you would be doing

  • Ensure all correspondence is tracked and responded to within required timeframes, in line with the client’s public complaints and enquiries process
  • Generate regular reports on correspondence status, volumes and performance metrics
  • Write, distribute, receive, log and archive all incoming and outgoing community focused communications
  • Support the Customer and Communications Manager with external and internal communications where necessary
  • Create, format and quality-check outgoing community focused communications to ensure alignment with corporate and project standards, ensuring accuracy, completeness and compliance with project protocols
  • Assist in preparing for audits and reviews Provide training and support to team members on protocols and systems relating to community focused communications
  • Ensure all community focused communications comply with the client’s writing and tone of voice guidance
  • Assist in the development of correspondence tracking systems and processes to ensure audit compliance and accessibility
  • Act as a liaison between internal teams and external stakeholders to ensure clear and timely community focused communications are created and delivered
  • Liaise with colleagues and client stakeholders to resolve issues or delays in correspondence workflows
  • Manage correspondence and maintain accurate records using digital document control systems (e.g MP Connect (CRM)

  • Be able to quickly source and interpret technical information from a variety of sources and translate into customer-friendly written communications
  • Experience working in a construction or infrastructure project environment
  • Prior experience in correspondence management, document control or project administration
  • Competent in the use of MS Office applications and document management systems
  • Excellent written and verbal communication skills with attention to detail
  • Strong organisational skills with an ability to manage multiple tasks simultaneously and prioritise under pressure
  • Familiarity with project reporting tools such as Power BI or Excel dashboards
