The position involves reviewing, verifying, and processing vendor invoices and check requests, coding and entering invoices into the accounting system, preparing and executing payments including checks, ACH, and EFT, and maintaining accurate electronic and hard‑copy AP records in line with company policies.
Additional duties include preparing vendor credit applications, collecting required paperwork such as W‑9s and insurance certificates, responding to vendor inquiries, researching and resolving invoice discrepancies, and escalating collection issues to leadership as needed.
The role also requires maintaining accounts payable reports and vendor files, assisting with 1099 preparation, ensuring compliance with procedures and internal controls, supporting audits, partnering with the accounting and finance team during monthly close, prioritizing workload to meet deadlines, and performing other accounting or administrative tasks as assigned.
Candidates must have an associate degree in Accounting, Finance, or a related field (or be actively pursuing one), prior experience in accounts payable or general accounting support, proficiency in Microsoft Office especially Excel, strong mathematical and data‑entry accuracy skills, excellent organizational abilities, and effective written and verbal communication.
Preferred qualifications include experience with accounting or ERP systems and knowledge of AP best practices, approval workflows, and internal controls.
