  • Assume responsibility for the management and oversight of the Document Control office/department within the capital program. This role includes strategic planning, resource allocation, and continuous improvement initiatives aimed at elevating the standards and performance of document control processes across the organization.
  • Supervise the efficient processing of all incoming and outgoing program documentation. This involves ensuring that documents are correctly reviewed, approved, and distributed to relevant stakeholders in a timely manner.
  • Ensures compliance with departmental policies and procedures, including the interpretation of requirements when necessary.
  • Thoroughly understand and implement the requirements for maintaining project record documents as specified in project contracts. This includes ensuring that all documentation complies with industry standards and regulatory requirements, mitigating risks associated with non-compliance.
  • Create, develop, and implement comprehensive policies and procedures for document control. Ensure that these guidelines adhere to compliance standards and industry best practices, promoting consistency and reliability in document handling.
  • Take charge of the installation, administration, and ongoing maintenance of the Document Management System (DMS). This system is essential for tracking, retrieving, updating, and maintaining all program and project documents, ensuring that information is readily accessible and organized.
  • Ensure the systematic organization of all contract documents within a structured filing protocol. This organization facilitates easy filing and retrieval of critical documentation, such as administrative files, bid proposals, daily and monthly reports, test results, meeting minutes, drawings, program sketches, and general correspondence. Prioritize clarity and ease of access to support team workflows.
  • Lead and manage a team of document control professionals, providing them with clear guidance and support. Establish performance metrics to ensure high standards of quality compliance and foster a collaborative environment where team members can thrive and develop their skills.
  • Comprehends project delivery programs in terms of potential documents and their filing requirements, paying attention to terminology and project stages.
  • Assess and validate the client’s filing protocol process to identify strengths and weaknesses. Recommend and implement opportunities for enhancing system efficiencies, thus improving the overall effectiveness of document management.
  • Develop and maintain a comprehensive Document Control System that includes automated tracking logs and workflows. This system is crucial for maintaining order and accuracy in document management processes.

  • Understands the use of relational databases.
  • Minimum of 5 years’ experience as a Manager of Document Control in a supervisory role; or
  • BA or BS in Business Management
  • Minimum of ten (10) plus years’ experience in Construction Management, Program Management, and/or Construction Industry
  • Excellent verbal and written communication skills.
  • Able to effectively communicate before clients, contractors, or employees of the organization.
  • Understands the organizational structure of programs and projects and enforces vetting and filing protocols.
  • Possesses supervisory skills for daily operations and provides necessary training for individuals.
  • Possesses outstanding computer skills, proficient in the MS Office productivity suite, including Excel, Word, Access, PowerPoint, and Outlook.
  • Capable of prioritizing and organizing work efforts for both one and staff.
  • Skilled in analyzing and solving problems related to document control, management, versioning, archiving, and retrieval.
  • Experienced in using both large-format and small-format plotters, printers, and scanners.
  • Demonstrates strong interpersonal skills when collaborating with various departments and personalities to achieve mission success.
