The Claims Specialist position is based in Plainfield, IN and is a full‑time role. The specialist reviews underground utility damage investigations and manages the entire lifecycle of utility damage claims, ensuring accurate assessment, documentation, and submission to customers or insurers. The role evaluates liability according to state 811 dig laws and industry standards, communicates with stakeholders, and tracks claims from submission through closure. This function helps minimize financial impact, maintain compliance, and support strong customer relationships.
The specialist works closely with field investigators, supervisors, and management to validate evidence, utilize photographs, GPS data, and diagrams, and resolve discrepancies. They participate in weekly meetings to discuss open claims, recovery strategies, and process improvements, while adhering to internal SOPs and using calendar tools to ensure each claim receives regular attention. Detailed notes are maintained in the company’s Claims Database and CMMS tools throughout the claim lifecycle.
- Review underground utility damage investigations, reports, diagrams, photos, measurements, and supporting documentation.
- Validate findings against state 811 laws, safe digging requirements, and applicable standards (NESC, CGA Best Practices, local statutes).
- Determine liability based on evidence, jurisdictional requirements, and investigation outcomes.
- Ensure claim files are accurate and complete before submission.
- Prepare and submit finalized damage investigation reports to customers per contract requirements.
- Serve as the primary contact for claim inquiries from customers, utilities, or contractors.
- Communicate liability determinations, documentation needs, next steps, and timelines to stakeholders.
- Submit qualifying claims to the company’s insurance carrier with required documentation.
- Work with insurance adjusters to negotiate and defend claim liability positions.
- Track each claim through the insurance lifecycle from submission to settlement or closure.
- Maintain detailed notes in the Claims Database Tool and related systems.
- Review repair invoices for accuracy, legitimacy of labor/equipment charges, and compliance with contractual pricing.
- Challenge inflated or questionable costs and collaborate to reach fair settlements.
- Partner with field investigators, supervisors, trainers, and management to validate field conditions and reconcile discrepancies.
- Utilize photographs, narratives, GPS data, diagrams, locate tickets, and sketches to visualize damage scenes.
- Participate in weekly department meetings to review open claims, recovery strategies, and process improvements.
- Ensure claims adhere to state laws, customer contracts, and internal SOPs.
- Use calendar/diary systems to manage workload, touching each claim at least twice weekly.
- Maintain data accuracy and file integrity within CMMS, Claims Database, and shared storage systems.
- Follow advanced claim handling procedures defined by the Damage Prevention Manager.
- Interpret technical field evidence and reconstruct incidents.
- Prioritize multiple active claims in a fast‑paced environment.

The role is primarily office‑based but requires frequent interaction with utilities, contractors, insurers, and legal teams.
