HSE Administrator

Description

We are looking for a HSE Administrator to join our team on a permanent basis. This role will support the SHE leadership team in day-to-day HSE related administration, and coordination of the HSE department and its activities.

• Support the scheduling of internal/external meetings and keep a record of meeting minutes and distribution.
• Handle incoming HSE enquiries and liaise with external stakeholders where required
• Support with HSE campaigns and initiatives, procedure review / updates and in the preparation of external audits
• Assist in preparation of HSE related presentations and achieving HSE reporting deadlines.
• Assist in the preparation, filing and organisation of safety related documentation, ensuring confidentiality of sensitive safety related information.
• Support with Prequalification Questionnaires and ASSURE and SYPOL tasks when required
• Distribute correspondence and internal HSE communications.
• Facilitate the SHE team’s use of HSE digital systems
• Assist in the organising, tracking and completion of Active Monitoring, Workplace Monitoring and Life Saving Rule Inspection activities/records.
• Maintain HSE team’s channel on Microsoft TEAMS.
• Ensure timely delivery of project work, tracking actions of the wider team and compliance.
• Complete project work including PowerPoint presentations, spreadsheets, reports and agenda material.
• Provide general administrative support to the HSE Director and wider HSE Team.

Requirements

• Strong attention to detail and accuracy in managing documents and data
• Appreciation of confidentiality and discretion
• Good level of understanding and knowledge of HSE legislation and codes of practice.
• Professional in approach to dealing with issues and employees.
• Excellent information sharing ability and able to adapt to audience
• Experience of dealing with HSE management systems and processes
• Health and Safety coursework or qualification
• Ability to plan, prioritise and organise own workload
• Demonstrable understanding of SharePoint / online management system software / action tracking
• Experience in HSE or construction / heavy industry related environment
• Strong written and verbal communication skills
• Ability to handle multiple tasks, work as part of a team and meet deadlines
• Proficient in Microsoft Office suite
