Executive Assistant to the Chief Financial Officer

Provide executive administrative support to the Chief Financial Officer, managing scheduling, correspondence, travel, expenses, and communication with internal and external stakeholders, while maintaining confidentiality and exercising discretion.
Exercise direction and confidentiality with sensitive information to maintain confidentiality at all times
Schedule meetings, coordinate material preparation and logistics, document proceedings and proactively track action items.
Manage complex expense tracking and reconciliation.
Collaborate with CFO to ensure all administrative needs of CFO are met.
Act as communication liaison to serve as the primary point of contact between the Executive and internal and external stakeholders. Handle correspondence, draft emails and facilitate communication as needed.
Manage and develop relationships with external parties including business partners, the Board and general public.
Create presentation materials and manage board meeting materials
Coordinate information management to ensure overall efficiency of information flow and storage to include tracking and storage of business contact information.
Act as liaison with executive staff, administrative staff and employee base.
Manage complex and extremely heavy domestic and international travel and logistics arrangements, including itinerary development.
Assist with special projects and initiatives as directed by Executive, ensuring timely completion and alignment with objectives
Manage logistics and planning timelines for visitors, events and conferences.
Manage and prioritize responses to internal and external requests for the CFO’s time and participation.
Efficiently manage Executive’s calendar, including scheduling and gatekeeping to appropriately resolve scheduling conflicts as needed.
Prioritize, track, develop and edit internal and external communication including items that are confidential and sensitive in nature.

Exceptional organization and time management skill – able to work independently, to prioritize multiple tasks to meet changing deadlines and requests, while strategically thinking ahead.
Travel: Up to 5% as needed for event support
Demonstrated experience in maintaining confidentiality and privacy during sensitive situations in a dynamic and often changing environment.
Requires 10+ years of Executive support work experience. Other relevant experience may be considered.
Physical exertion and/or requirements: Minimal, with ability to safely lift up to 20 pounds.
Work Conditions: Stairs, typing/keyboard, standard and/or sitting working environment of >8 hrs./day.
Must be able to be onsite 5 days per week.
Special Senses: Visual and audio focused work and ability to perform role in personal protective equipment.
Proactive management of details, able to anticipate and solve problems with strong attention to detail.
Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with Confluence and other office tools.
Requires a bachelor’s degree in business administration or relevant field
Motor Abilities: Sitting and standing for extended periods, bending/stooping, grasping/gripping, fine motor control (hands).
