Description

The opportunity is for a detail‑oriented, proactive Admin Service Manager to lead day‑to‑day administrative operations of the service department, overseeing scheduling, billing, and customer service to drive efficiency and growth in a fast‑paced, customer‑focused setting.

• Manage and train administrative staff, including dispatchers, billing clerks, and customer service representatives.
• Assign tasks, monitor performance, and ensure accountability through regular team meetings.
• Oversee scheduling, dispatching, job tracking, work order processing, job closeouts, and invoicing.
• Streamline office procedures, service department workflows, and ensure accurate billing and collections.
• Manage purchase orders and handle service admin/billing complaints and escalated customer issues.
• Coordinate with sales and service managers to meet customer needs and maintain professional communication.
• Administer Field Service software, train staff on its use, and provide training to new service coordinators.
• Generate and analyze KPI reports on billable hours, job completion, and revenue; identify bottlenecks and implement improvements.
• Maintain accurate records of jobs, contracts, service agreements, warranties, and ensure policy compliance.
• Support company growth initiatives, special projects, and conduct work‑in‑progress reviews for leadership.

Requirements

Employees work primarily in an office environment with occasional field duties; the role requires regular use of computer and telephone, standing, walking, and sitting.

• Qualifications: 5+ years of administrative management experience (preferably HVAC/construction), strong leadership, problem‑solving, multitasking, communication, and customer service skills.
• Proficient with service management software and Microsoft Office Suite; tech‑savvy and able to work in fast‑paced, team‑oriented environment.
• Required language and mathematical skills for reading, writing, calculations, and presenting information.
• Ability to apply common‑sense reasoning, prioritize tasks, and solve problems involving multiple variables.
