What you would be doing
  • Manage day-to-day office operations, including supplies, equipment, vendor management, and facilities maintenance.
  • Track software licenses, professional memberships and other pertinent information.
  • Manage office-related budgets, vendor contracts, and invoice processing.
  • Support accounting team with various administrative tasks.
  • Work with broker and HR annually on benefits offerings and send communications throughout the year related to benefits administration.
  • Track and report on office expenses, subscriptions, and vendor agreements.
  • Support Bulfinch’s commitment to technology (Yardi, Sharepoint, Salesforce. Paychex, etc).
  • Coordinate office moves, space planning, and seating arrangements.
  • Serve as the point person for employee inquiries, ensuring strong internal communication.
  • Assist with internal communications (intranet updates, newsletter, etc.)
  • Maintain company contacts in Salesforce CRM (all stakeholders: clients, tenants, lenders, investors, vendors and brokers).
  • Coordinate food and beverage ordering for office meetings and company events.
  • Act as a cultural ambassador by fostering a positive, professional, and inclusive office environment.
  • Track and manage all employee personal time off, ensuring proper coverage is upheld.
  • Ensure compliance with company policies, health & safety requirements, and best practices.
  • Assist with preparation of letters, leasing proposals, presentations, reports, employee communications, benefits administration and meeting materials for leadership and project teams.
  • Manage vendor contracts and relationships.
  • Plan and coordinate office events, meetings, and team-building activities.
  • Serve as the primary liaison with building management, IT providers, and office service vendors as needed.
  • Support new employee orientation and onboarding process.
  • Assist with the administrative aspect of recruiting and onboarding processes, coordinating university hiring, scheduling interviews and welcoming new hires.
