The employee will perform a variety of administrative and clerical duties to support the design and construction group, including coordinating equipment rentals, travel arrangements, and job expense reporting, as well as maintaining departmental spreadsheets and documentation.
- Negotiate preferred rental rates with equipment providers and book equipment for crew jobs.
- Schedule and coordinate travel, lodging, rental cars, equipment, trash disposal, and onsite restroom facilities for crews and managers.
- Compile and manage job expense reports by processing receipts, equipment, and hotel invoices.
- Maintain and update multiple departmental spreadsheets.
- Process reorders, credit memos, and related departmental entries.
- Track preventive maintenance notes in the Epicor system.
- Upload accurate documentation to Epicor or other project‑management software.
- Follow up on past‑due items and perform additional tasks assigned by the Design and Construction Manager.
- Deliver exceptional customer service and communicate effectively in oral and written forms.
- Utilize Microsoft Office (Word, Excel, Outlook) and company computer systems for data entry, retrieval, and reporting.
- Protect confidential company information and documents.
- Interpret business reports, write correspondence and manuals, and present information to managers and clients.
