Description

The Titling Reconciliation Specialist is a full‑time, hourly position reporting to the Titling Team Lead. Working hybrid (three days in office, two remote), the role meticulously oversees titling fees, corrects inaccuracies, and reports them to management for immediate correction.

• Monitor and track under‑collected title fees and expense trends to identify process improvements.
• Record and deposit conversion fees, Uniform Commercial Code payments, and retail credit‑card charges; report findings to Accounts Payable.
• Collaborate with Clayton Retail, VMF Accounting, and Connect Lending teams to resolve fee‑related issues and ensure accurate Vintek fee updates.
• Process customer reimbursements for over‑collected title fees, including refunds of conversion and recording fees managed by Corporation Service Company.
• Review un‑cashed checks, ensure proper coding to General Ledger accounts, and enter journal entries to correct invalid postings.
• Log and void checks accurately, and work with Treasury to reconcile outstanding Alabama title fees and allocate them correctly.
• Provide coaching and feedback to team members on title‑related errors and assist the title clerk in reproducing title work as needed.

Requirements

The position requires a high school diploma (college degree preferred) and 1‑2 years of related experience. Candidates must be self‑motivated, detail‑oriented, able to meet daily deadlines, and possess strong verbal communication and coaching skills; knowledge of titling, conversion requirements and relevant systems (AS400, LINK, Velocity, Deal Tracker) is essential.
