The Role

Overview

Assist project managers with coordination tasks and manage daily office operations.

Tasks

-Act as the main point of contact for employees with questions regarding office operations. -Coordinate maintenance of office equipment. -Issue addenda’s. -Contact needed parties for signatures and track progress. -Create and maintain documentation (contracts, change orders, AIA documents, project books, certificates of insurance, etc.). -Monitor office supplies inventory and place orders. -Assist with new hire onboarding. -Create submittal template spreadsheet for Procore. -Support local efforts in teambuilding activities/events coordination/holiday parties, etc. -Create bid packages. -Provide plan holders list to contractors. -Obtain operation and maintenance manuals, along with as-built drawings. -Answer and direct calls. -Post bids and oversee bidding materials. -Issue award letters to contractors. -Process incoming and outgoing mail. -Manage bidding of projects: -Assist with any needed building permits. -Maintain bid lists. -Facilitate project closeout: -Greet and assist clients that come into the office. -Create letters for the project owners and send all needed materials. -Issue recommendation letters to project owners. -Manage Procore database: -Actively participate on events and office safety committees. -Create bid box for project managers (bid tabulation spreadsheet, signage, date stamp, etc.). -Update contract amounts. -Manage office upkeep and maintenance. -Support marketing department in trade show coordination and proposal printing/binding -Create AIA documents and submit to contractors.

What You Bring

-Degree in Business Management preferred. -Proficiency in the use of Microsoft Office products. -Proven ability to maintain excellent integrity and ethical standards within role. -2+ years’ experience in administrative or clerical work. -1+ years’ experience in the construction industry. -AIA documents.
