Tasks

-Use mailcarts or other equipment to transport mail and packages within the building. -Reconcile vendor statements and coordinate with vendor's receivables department. -Deliver sorted mail and packages to the appropriate departments or individuals promptly. -Affix proper postage and ensure timely dispatch through postal services or courier companies. -Perform routine maintenance on mailroom equipment and report any malfunctions or needs for repairs. -Monitor multiple email inboxes, triaging inquiries and errors as needed. -Create and resolve tickets related to vendor invoicing issues. -Prepare and package outgoing mail and deliveries. -Complete testing in ERP and subsystems for system upgrades, enhancements, and migrations. -Make recommendations for process improvements related to mailroom activities and invoice processing. -Sort mail and packages according to departments, locations, or personnel. -Keep the mailroom clean, organized, and well-stocked with necessary supplies (e.g., envelopes, stamps, labels). -Maintain accurate records of incoming and outgoing deliveries. -Operate mailroom equipment such as postage meters, scanners, and copiers. -Inspect packages and mail for damage and report any issues to the supervisor. -Attend meetings and represent the department as the in-house liaison for mailroom vendor information. -Match purchase orders to invoices and ensure proper authorization. -Collect and sort incoming mail and packages from postal services, couriers, and interoffice deliveries. -Track and document outgoing shipments for accountability. -Review, verify, and process invoices and expense reports.
