Key responsibilities include drafting presentations, brochures, memoranda and reports; coordinating meetings, conference calls, travel arrangements and expense submissions for the CCO; attending and minuting management meetings; and supporting budget management through Excel, invoice coding, expense reports and corporate credit‑card processing. The assistant will also work with the CEO, CCO and senior leadership on planning, budgeting and executing C‑Suite events such as Board of Directors dinners, visitor presentations, tours and regional activities, handling venue layout, catering, invitations and logistics. Additional duties involve managing corporate headshot photography, the QuadReal Swag Store inventory, maintaining the corporate calendar, screening calls and visitors, and preparing confidential correspondence and reports.
The Executive Assistant & Event Project Coordinator is a 16‑month contract role that provides comprehensive administrative and project‑management support to the Chief Communications Officer (CCO). Working closely with the CCO, the incumbent will manage corporate projects, assist with event planning, develop communication initiatives and branding materials, and ensure effective team communication. The role requires strong communication, organizational skills, creative flair and the ability to transform information into engaging content aligned with QuadReal’s objectives and culture.
Candidates should have at least five years of administrative and communications experience, a university degree in a related field, and demonstrated event‑planning expertise for board, corporate and employee engagements. Financial management, budgeting and expense‑management skills are required, as are strong initiative, self‑management, and the ability to partner effectively with all business levels. The role demands excellent oral and written communication, confidentiality, the capacity to work across time zones, and the ability to handle multiple, competing priorities while delivering accurate, high‑quality work. Advanced proficiency in Microsoft Word, PowerPoint and Excel, along with superior spelling, punctuation and grammar, is essential.
The position offers an annualized base salary range of $75,000‑$90,000, prorated for the 16‑month contract, with the final offer reflecting skill, experience, education, market considerations and internal equity.
