Operations Administrative Support

Description

• Assist with organization and packaging of RFP (request for proposal) and RFI (request for information) responses
• Solicit project close out and project summary data from Project Managers and enter information into the database
• Supports updating marketing materials as required
• Assist with shop drawings
• Enter project data into database
• Assists with data entry as needed
• Complete and submit weekly paperwork (e.g. Timesheets, Expense Reports, etc.)
• Drafting, editing, and performing quality control on engineering, controls and equipment proposal documents
• Supports updating resumes
• Assists with internal and external presentations
• Assist with updating Operations policies and procedures
• Enter vendor and client contact information into the database and Outlook address book
• Prepares and formats documents and correspondence
• Assist with studies, reports, project specs, and other documentation
• Log and save transmittal emails in the database and project folders

Requirements

• Must have excellent time management and communication skills

• Strong verbal and written communication skills
• High School Diploma

• Proficient in Microsoft Office Suite
• 1-3 years of administrative experience
• Ability to work accurately, with attention to detail
