Issue trackers to Heads of Divisions to keep them updated with proposal submission deadlines.
Coordinate with various departments (e.g., Divisions, Commercial, Marketing, Operations) to gather necessary information for bid submissions.
Analyse and understand client requirements and tailor bid responses accordingly.
Review and approve bid content to ensure consistency and alignment with company standards.
Ensure that all bid submissions comply with legal, regulatory, and company standards.
Ensure that all bid documents are accurate, compliant, and delivered on time.
Manage and update the bid tracker and Master List of Contracts.
Implement best practices and continuous improvement initiatives within the bidding process.
Manage the bids, pre-qualification and contracts process.
Drive continuous improvement through post-bid review, both internally and with clients.
Lead and mentor the bid coordinators.
Maintain a thorough understanding of industry trends and competitor activities.
Manage end to end bid process, providing active bid management support and lead all day to day bid activities.
Monitor and analyse bid performance, win/loss rates, and feedback to identify areas for improvement.
Provide regular reports and updates to senior management on bid progress and outcomes.
Develop and implement effective bid strategies to win new business.
Identify and mitigate potential risks associated with bids and contracts.
Manage bids team and inputs from key stakeholders, typically engaging with the commercial department, finance, project management and marketing.
Obtain feedback on submitted proposals to support optimisation of pricing and bid strategy.
Follow up on submitted proposals to support project awards.
Track bid feedback and report feedback to management team in order to support bid success.
