Schedule and plan meetings and appointments, create a master schedule for all team members. Arrange meetings, take or distribute minutes of meetings, help prepare Excel, Word, PowerPoint presentations.
Create flow charts or other types of presentations to assist team members.
Coordinate with other departments to ensure compliance with established policies and assist with filed coordination of material needs.
Maintain daily log of job site occurrences and document incidents that occur at the filed level.
Assist the leaders with the invoice, payment control and all administrative related tasks. Review financial data to oversee costs, profits, and expenses.
Assist project team with safety compliance within the job site and attend all required safety meetings.
Manage the filing system, record information as needed, update required forms and paperwork.
Organize office and assist associates in ways that optimize procedures.
Produce high-quality results working independently or within a team.
Communicate and maintain trusting relationships with subcontractors, vendors, team members, and other external stakeholders.
Assist F21 Project leaders in maintaining records of job changes, including change orders, purchase orders, and work scheduling.
Assist filed operations with daily planning, document review and field staff coordination.
Assist in the maintenance of a clean job site, take direction well, detail oriented.
Resolve office/field related issues, such as supplies, updating employee lists and contact lists, seating arrangements, field staff coordination etc.
Assist in the review of documentation and contracts to ensure compliance.
Sort and distribute communications in a timely manner.
Ensure UIS quality standards are upheld and document and assist with training of filed staff for compliance.
Manage overall project documentation and records. Create and update records ensuring accuracy and validity of information.

Mandarin verbal communication skills are strongly preferred.

High School diploma or GED, required. Bachelor’s degree in construction management or business Admin, or a related field preferred.
Verbal communication skills in Mandarin or Spanish.
Ability to perform administrative tasks in a supporting role.
Able to work in a team environment.
Ability to effectively present information and respond to questions from groups of managers and employees.
Strong knowledge in Microsoft suite (Word, Excel, PPT, Power BI, etc.).
Must have good problem-solving skills and be willing to learn.
2+ years of internship or work experience combined, in construction environment preferred.
Ability to work in a construction site environment (trailer office).
Excellent organizational and time management skills.
