Installation & Services Coordinator

Description

• Coordinate timely processing of installation work, service work, order entry, and billing; schedule and adjust team workload during peak season to ensure customer satisfaction.
• Recommend process or tool improvements to enhance team efficiency, productivity, and effectiveness.
• Lead a team by setting expectations, directing workflow, improving performance, resolving conflicts, communicating goals, and maintaining a safe work environment.
• Ensure compliance with policies, regulations, safety standards, and proper completion of technician paperwork and permits.
• Assist inventory control for products and materials in facilities and vehicles; conduct cycle counts and resolve discrepancies.
• Communicate operational overviews, major issues, improvement recommendations, performance efficiencies, and capital needs to management.
• Suggest ways to improve efficiency, cost effectiveness, and customer satisfaction regarding installation capabilities, staffing, and subcontractor rates.
• Understand the job order process and utilize reports and tools for business management.
• Contact retailers, dealers, or homeowners to confirm orders, validate information, and record notes in CRM for team visibility.
• Assign installers (in‑house or subcontractor) and determine appropriate kits for jobs.
• Coordinate with external subcontractors via phone and email to schedule jobs and follow up on status.
• Handle customer requests or complaints via phone or email, ensuring appropriate resolution and collaborating with Territory and General Managers.
• Ensure all required paperwork is completed accurately.
• Develop and maintain positive relationships with internal and external customers.
• Collaborate with other departments and sales to resolve issues and achieve growth goals.
• Maintain master files of products, pricing, workflow, training, and procedural information.
• Provide functional support during absences, vacations, or business surges.
• Take full responsibility and accountability for installation business success.

Requirements

We are seeking an experienced bilingual Installation Services Coordinator to oversee and manage all day‑to‑day functions of the installed services operation for specific locations. Responsibilities include workforce expectations, productivity, onsite and truck inventory management, safety, quality, and ensuring high levels of customer satisfaction while meeting the company’s objectives for the installed services program in the assigned region.

• Maintain a satisfactory motor vehicle record (MVR).
• Be bilingual in Spanish.
• Proficient in Microsoft Word, Excel, and Outlook.
• Possess experience in inventory management.
• Demonstrate proven leadership skills.
• Exhibit strong verbal and written communication, organization, interpersonal, and team‑building abilities.
• Be analytical and a strategic thinker.
• Demonstrate problem‑solving, decision‑making, and conflict‑resolution abilities.
• Be flexible, adaptable, and capable of managing uncertainty and change.
• Travel in the field as needed, potentially requiring overnight stays.
