Keep company software and customer accounts updated with accurate permit information
Collaborate with other administrative and field team members to keep workflows smooth
Reconcile credit card transactions for permitting expenses ahead of month-end deadlines
Build and maintain professional relationships with municipal representatives and permitting offices
Track job statuses and proactively schedule inspections to ensure timely permit closure
As a Permitting Coordinator at Service Minds, you will play a key role in supporting field operations by managing the end-to-end permitting process. You will be responsible for filing permit applications, submitting Notices of Commencement (NOCs), scheduling inspections, and ensuring compliance with local regulations. This role requires strong attention to detail, excellent communication skills, and the ability to work independently while juggling multiple priorities.
Excellent written and verbal communication skills
Strong attention to detail and ability to follow through without constant oversight
Basic computer proficiency and comfort using online portals
Background in home services (HVAC, plumbing, electrical) or construction is a plus
Strong organizational and time management skills
Must be able to pass a pre-employment background check, drug screen, and MVR check
Ability to multitask and remain calm under pressure
Occasional local driving required to deliver or pick up permit documents
Must be able to sit or stand at a desk for extended periods and use standard office equipment
Prior experience in permitting or working with municipalities is preferred
Empathy and professionalism in dealing with both customers and government personnel
