The role ensures roofing projects run smoothly from pre‑production through completion, coordinating materials, scheduling subcontractors, and acting as the central communication hub among Sales, Operations, Purchasing, field teams, and external partners. Key responsibilities include developing and maintaining the master production schedule, assigning subcontractor crews, adjusting schedules for weather or material delays, coordinating permits and deliveries, and keeping project records up to date in AccuLynx. The coordinator also supports purchasing by processing orders, tracking inventory, managing tool rentals, and handling system and financial tasks in AccuLynx and Epicor, while building strong subcontractor relationships and serving as the primary point of contact for scheduling updates and issue resolution.
- Develop and maintain the master production schedule for roofing projects.
- Assign subcontractor crews based on availability and project requirements.
- Adjust daily schedules for weather, material delays, or staffing changes.
- Coordinate permits, equipment, and material deliveries to meet start dates.
- Maintain accurate project records in AccuLynx and related systems.
- Support the Director of Purchasing by executing purchasing strategies and managing vendor relationships.
- Prepare, process, and verify purchase orders aligned with sales and operations schedules.
- Purchase and allocate roofing materials, gutters, metal, tools, and inventory.
- Monitor material availability and expedite critical orders.
- Track inventory levels, usage, and tool/equipment rentals across jobs.
- Enter and manage purchasing, inventory, and contract transactions in AccuLynx and Epicor.
- Allocate materials to job accounts and release daily job packs.
- Assist Accounts Receivable with delivery ticket uploads and reconciliation.
- Resolve vendor issues such as returns, exchanges, and credits.
- Build and maintain professional relationships with subcontractors.
- Serve as primary contact for scheduling updates and issue resolution with subcontractors.
- Onboard new subcontractors and ensure compliance with company standards and safety requirements.
- Conduct regular performance, quality, and safety check‑ins with subcontractors.
- Liaise between Sales, Operations, Purchasing, field crews, subcontractors, and customers.
- Communicate schedule changes and project updates proactively.
- Troubleshoot real‑time issues to minimize delays and maintain customer satisfaction.
- Ensure projects comply with quality standards, safety regulations, and building codes.
- Apply strong math skills and attention to detail.
- Lift and handle moderate to heavy materials; stand, walk, and type throughout the workday.
- Maintain visual acuity for close work, distance, depth perception, and peripheral vision.
