The Logistics Specialist will manage cargo claims, delivery project management, process RMA’s, vendor relations, and provide updates to management on shipments. The ideal candidate will have previous experience in distribution, customer service, and managing deliveries. This position interacts regularly with Finance, Sales Operations, and external vendors.
- Conduct regular business reviews with logistics providers, establish corrective action plans, and drive continuous improvement.
- Understand the cost structure of ocean and air freight in order to avoid demurrage charge
- Managing the regular and temp-controlled warehouse
- Serve as primary point of contact for 3PL partners; ensure operational KPI performance (inventory accuracy, delivery timeliness, damage rate, documentation compliance).
- Ensure Proof of Delivery is obtained within SLA; monitor performance and implement follow-up controls.
- Reconcile 3PL inventory reports with Oracle records on a monthly basis and during bi-annual physical counts; ensure discrepancies are resolved promptly.
- Own and refine logistics SOPs, KPI dashboards, and reporting tools to improve visibility and accountability.
- Supervise and mentor logistics staff; provide training, workload allocation, and performance feedback.
- Oversee daily logistics operations including shipment coordination, inventory accuracy, and on-time delivery performance.
- Optimize workflows for shipping, receiving, customs documentation, and inventory control to reduce costs and improve service quality.
- Lead logistics planning and execution for large delivery projects including timeline management, resource coordination, and stakeholder alignment.
- Understand the payment process with carrier, check the billing with the 3rd party payment company
- Support talent development and succession planning within the logistics function.
- Lead cargo claim investigation, filing, tracking, and resolution to minimize financial losses.
- Support month, quarter, and year-end closing activities by overseeing transaction processing, inventory adjustments, and internal audit compliance.
- Oversee customs clearance activities and ensure compliance with applicable tariff structures including IEEPA, 301, 201, and ADCVD.
- Work closely with internal trade compliance teams and customs brokers to mitigate risk and avoid penalties.
- Foster a high-performance, collaborative team culture focused on accountability and continuous improvement.

Ocean and Air Freight Experience
This is a hybrid role, and requires in-office work every Monday and Thursday in Fremont, CA. No exceptions.
- Experience in Renewable Energy, Solar, or manufacturing/logistics-heavy industries is a plus.
- Ability to speak Mandarin is a plus but not required.
- Enthusiasm for the Renewable Energy industry and alignment with company mission.
- 5–7+ years of progressive logistics, supply chain, warehousing, or transportation experience, including direct experience managing external logistics partners.
- Strong understanding of 3PL operations, carrier management, shipment tracking, and inventory control processes.
- Advanced Excel skills required; ability to analyze data, build dashboards, and report KPIs.
- Have experience of both ocean and air freight.
- Excellent communication skills with the ability to work cross-functionally and escalate issues effectively.
- Experience working in Oracle ERP or similar systems.
- 2+ years of team leadership experience (supervision, coaching, or project leadership).
- Strong analytical and problem-solving skills; capable of decision-making under time pressure.
- Have the experience to design and improve the efficiency of billing process
- Excellent skill in WMS, TMS and ERP system
