Administrator - Business Support Admin

Description

• Actively promote a safe working culture within your area thus ensuring that there are no reportable accidents to all staff, contractors, customers, or any visitors to your department that are attributable to your negligence or failure to adhere to Health and Safety procedures, processes, and the law.
• Maintaining the Function Request database and liaise with relevant stakeholders to ensure event authorisation.
• Facilitate a prompt and effective response to the daily Establishment requirements directed to the Executive Department, notifying appropriate personnel where required.
• Compile and maintain the Establishment Diary, attending appropriate planning meetings and sourcing relevant information to ensure continuity and accuracy.
• Coordinate the Executive Department Stationery demand.
• To become familiar with and provide absence cover for the Commanders Assistant and Commanding Officers PA.
• Provide a focal point for the preparation and maintenance of HMS Sultan Temporary Memorandum, reviewing content for clarity and accuracy and prepare for authorised release.
• Coordinate, compile and prepare for timely release HMS Sultan Daily Orders & fortnightly newsletter.

Requirements

• Administration experience with excellent organisational, time-management and motivational skills and a high degree of integrity and confidentiality.
• Proven track record of delivering quality administration support at management level and ability to work unsupervised using own initiative.
• The successful candidate will be well-organised, precise, confident with credible communication skills readily able and willing to contribute at all levels. In addition, the individual will be versatile, intuitive, and professional with good judgement and absolute integrity. Pro-active and persuasive when required and responsive to changing needs of the business and demands of the customer, while remaining calm under pressure and self-motivated, the incumbent will be reliable and well presented, giving a positive image of MITIE company values. In addition, the following is needed.
• IT literate with a good working knowledge of MS Office applications.
• Persuasive and credible verbal and written communicator with the ability to develop close working relationships.
