Provide administrative support to the legal team, including scheduling meetings, handling correspondence, proofreading documents, responding to outside requests for information and managing deadlines
Prepare and process documents for state and jurisdictional professional licensing
Provide general support for claims and litigation related matters, as well as supporting the litigation hold and e-discovery processes for pending litigation
Maintain accurate and confidential records of legal documents, correspondence, filings and reports, ensuring they are properly organized, tracked, and up to date
Perform legal and factual research utilizing various sources including the internet, the company’s intranet, and other software and applications, and drafting research results in memorandum format for attorney review
Facilitate routine entity maintenance and updating corporate information sheets as necessary, as well as maintenance of electronic copies of corporate records and minute books
Collaborate with the legal team to enhance and streamline legal department processes
Manage a portfolio of global and domestic professional licenses, including architecture and engineering licenses
Act as a liaison with outside counsel, at the direction of Ware Malcomb’s General Counsel, to determine and implement the firm’s licensing requirements
Coordination with outside counsel on the opening, closing, and annual maintenance of global and domestic entities, as well as maintenance of the firm’s registered agent service listing

Solid understanding of corporate governance, risk management and regulatory compliance
Bachelor’s degree or paralegal certificate

Collaborative mindset with the ability to work effectively in a team-oriented environment
