Monitoring and maintaining various group insurance policy renewals and invoices. Sharing policy certificates as appropriate. Communicating with provider and group contacts.

Arranging, attending and taking notes during monthly board meetings and four monthly Senior Management meetings. Sharing resulting action points with relevant parties. Chasing and collecting pre-board and pre-management reports in a timely manner ready for the next meeting.
Ensuring compliance to company, Quality, Health & Safety and Environmental policies.
Providing full secretarial and administration duties to the Managing Director/ Company Secretary covering several companies and a wide portfolio.
Where the role requires the use of company credit cards and other payment methods, maintaining the process for approvals, expenditure and reconciliation in line with company signatory rules.
Monitoring and maintaining building investment/property portfolio including leases, rental and licences.
Effectively supporting the Manager/Director with correspondence, diary planning and travel arrangements for some of the direct reports.
Providing secretarial support and administering and controlling various board and corporate projects and events as requested.
Delivering exceptional levels of customer service to internal and external clients and service providers, with the aim of strengthening partnerships.
Maintaining internal statutory records as well as board resolutions and banking mandates for several companies in line with Group requirements.
With profitability in mind, negotiating contracts and partnerships with third party provider’s including but not limited to car hire, hotels and travel companies. Manage access and function of the related portals for the business.
