The Senior Property Manager is responsible for the comprehensive management, financial performance, and daily operations of a larger property portfolio (typically greater than 500K SF) consisting of commercial office, mixed-use, and/or industrial properties. This role requires a dynamic, experienced professional capable of leading larger teams (typically of five or more people), who can balance operational efficiency and a commitment to exceptional property standards and strategic asset performance. The Senior Property Manager will serve as the primary liaison between ownership, tenants, vendors, and internal teams, ensuring optimal property performance, and tenant satisfaction.
Operational Oversight: Provide leadership for the comprehensive management of a significant property portfolio. Ensure portfolio is operated in alignment with organizational goals, and in accordance with established policies, procedures, and regulatory standards. Oversee preventive and corrective maintenance programs, building inspections, and ensure timely resolution of maintenance issues.
Financial Management: Lead the preparation and management of complex budgets, financial forecasts and financial reporting. Review and analyze monthly financial statements, track variances, and implement cost-control measures. Manage accounts receivable, approve payables, and accruals/general ledger review.
Client Reporting and Communication: Serve as the point of contact for ownership groups. Prepare and present operational reports, variance analyses, and property updates. Support ownership objectives and strategic initiatives.
Tenant Relations: Foster strong tenant relationships through proactive communication, prompt issue resolution, and consistent delivery of high service standards. Conduct regular tenant visits and ensure lease compliance and satisfaction. Implement tenant engagement programs to enhance satisfaction and retention.
Regulatory Compliance and Risk Management: Ensure properties meet local, state, and federal requirements related to life safety, insurance, accessibility, and environmental standards. Oversee company sustainability initiatives. Participate in insurance claims and risk mitigation planning.
Capital Planning and Project Oversight: Lead the planning and execution of capital & tenant improvement projects, subject to owner approval. Coordinate with consultants, contractors, and stakeholders to deliver projects on time and within budget.
Lease Administration & Documentation: Monitor and enforce lease obligations including rent escalations, options, and clauses. Coordinate move-ins and move-
outs. Maintain accurate records of lease, tenant and building documents, and ensure accurate lease data within property management software systems. • Vendor and Contract Management: Source, negotiate, and manage third-party service providers. Ensure quality performance through contract compliance, scope execution, and periodic service evaluations.
Team Collaboration and Leadership: Lead and mentor on-site property management and engineering staff, promoting professional development and high performance. Delegate tasks effectively, conduct performance evaluations and provide constructive feedback. Foster a collaborative work environment that aligns with company culture and values. Coordinate with other departments including construction management, leasing, and accounting personnel.
Excellent written and oral communication and interpersonal skills, including ability to communicate across digital platforms and in-person.
Minimum of 7-10 years of progressive experience in commercial property management, with a focus on office, retail, mixed-use and/or industrial assets. Proven track record in managing larger-scale property portfolios and leading diverse teams.
Bachelor’s degree in a related field preferred. Industry certification (such as CPM or RPA designation) or pursuit of such preferred.
Advanced proficiency in property management software (Yardi and Angus Anywhere preferred) and Microsoft Office Suite (Word, Excel, PowerPoint, Sharepoint & Teams).
Effective organizational and time management, including prioritization of time sensitive items and the ability to meet deadlines.
Valid driver’s license and reliable transportation.
