The Team Administrator role provides proactive, professional support to the Transactional Services group. It involves collaborating with lawyers and business‑operations staff to meet the evolving needs of the business across multiple units.
- Maintain paper and email filing systems, ensuring files are up‑to‑date and properly archived.
- Set up new filing structures and retrieve documents from storage as needed.
- Assist Practice Group members with overflow tasks and prepare information for internal and external meetings.
- Produce and circulate agendas, itineraries and related meeting documentation.
- Take and promptly relay messages to lawyers and clients, especially when they are out of the office.
- Manage fee‑earner electronic calendars, arrange meetings, lunches and room bookings in coordination with reception.
- Update lawyers’ client contact databases.
- Support Legal PAs and Business Development by preparing and distributing client brochures and coordinating marketing contacts for seminars.
- Arrange cost‑effective travel and accommodation for domestic and international trips.
- Answer incoming telephone calls professionally and handle enquiries from internal and external callers.
- Represent the firm as the first point of contact for potential new instructions.

The successful candidate will be based in London, working Monday to Friday on‑site, and will support the team by managing filing systems, preparing meeting material, handling communications and coordinating schedules and travel. The role requires strong organisational skills, attention to detail and the ability to act as the first point of contact for internal and external enquiries.
- Proven experience in administrative support within a professional services environment.
- Strong organisational, multitasking and communication abilities.
