This position will support the Legal and Compliance Department and will provide sophisticated executive support, research, and project coordination. This position will provide support to the company's attorneys and compliance manager, manage and execute legal and compliance processes such as drafting documents; act as a liaison between attorneys, internal subject matter experts, and external counsel; and follow, develop and/or implement workflows to ensure efficiency and compliance. This position requires a high degree of sensitivity and discretion in dealing with legal, confidential, and proprietary matters, excellent organizational skills and attention to detail, a proactive, customer-focused mindset, proficiency with Microsoft Office, Excel, PowerPoint, social media, strong collaboration and communications skills.

  • Assist with the data privacy requests and initiate workflow approval process.
  • Support the Legal Department on special projects as assigned.
  • Support company charitable contribution review and approval process and the annual conflict of interest disclosure process.
  • Support Assistant General Counsel, IP with preparing agendas for monthly Intellectual Property Committee meetings and follow up on items from the meetings as necessary.
  • Assist in the maintenance of a matter management database, including opening new and closing resolved matters, tracking case updates, and preparing periodic reports.
  • Provide preliminary review for gifts and entertainment requests.
  • Provide administrative support to the non-disclosure agreement (NDA) process.
  • Open and maintain trademark, patent and general matters in Arconic’s intellectual property management system as well as Arconic’s e-billing system.
  • Coordinate input for recurring Legal and Compliance Department meetings and assist in preparing presentation materials pertinent to the same.
  • Responsible for the execution of day-to-day requirements of Arconic’s e-billing system including but not limited to, timekeeper approvals, onboarding new law firms, new matter set up, and report generation.
  • Support Compliance Manager with administration of the trade compliance and intermediary processes within Descartes and the Dow Jones Portal.
  • Maintain a contact and responsibility list of all approved outside law firms and serve as the key point-of-contact for Legal Department team members when seeking to engage outside counsel for new matters.
  • Assist in establishing and evidencing proper use of Arconic trademarks.
  • Work seamlessly with cross functional teams to share information and achieve common goals.
  • Act as a system owner for the Legal Department’s SharePoint sites and internal portal sites with respect to forms management, presentations and training materials, preventative law communications, etc.

  • Possess high integrity and exceptional quality of work and work standards. Excellent communication skills, customer focus and the ability to foster strong, collaborative relationships are critical.
  • Associate’s degree from an accredited institution.
  • 5 years’ minimum experience in a similar role in an in-house position or a combination of years of experience with some experience gained in an in-house role and some at a law firm.
  • Ability to manage multiple complex projects, organize files, and meet deadlines.
  • Strong understanding of legal terminology and the ability to research and learn complex legal issues.
  • Paralegal certification or degree.
  • Be tenacious – High volume and fast paced workload, with multiple issues and tasks occurring simultaneously. The candidate must be capable of working to meet deadlines with exceptional prioritization and problem-solving skills. Incumbent needs to be able to handle multiple tasks, be cognizant of internal and external customer priorities and be receptive to frequent prioritization changes. He/she must be persuasive, firm and focused on successful completion or resolution of numerous daily issues and tasks.
  • Bachelor’s degree from an accredited institution
  • A commercial mindset and the ability to understand business goals to support the legal needs of the company.
  • Advanced computer and legal software skills for data management and document automation.
  • Must be able to handle highly sensitive and confidential issues. He/she must demonstrate diplomacy and professionalism in a high-pressure environment and have the ability to engage colleagues to obtain timely and optimal outcomes. Proactive thinking, excellent planning and organizational skills are mandatory.

  • Excellent written and oral communication skills for effective interaction with diverse internal and external parties.
  • Possess attention to detail - Accurate documentation of details is a very high requirement for this position.
  • A high degree of accuracy and thoroughness in all tasks, from drafting to data entry.
  • Ten years’ experience in a similar role
  • Technical proficiency in Microsoft Word, Excel, PowerPoint, Microsoft SharePoint, and similar tools
