Fleet Management Associate

Description

• Navigate vendor systems and company policies to coordinate fleet activities.
• Participate in vehicle allocation and track the full lifecycle of fleet assets from procurement to disposal.
• Oversee vehicle licensing, registration, and insurance to ensure compliance with DOT and OSHA standards.
• Maintain accurate asset registers and service records, tracking mileage, fuel consumption, and vehicle health data.
• Manage the Fleet DOT program, including driver qualification files, medical examiner certifications, and pre‑employment queries.
• Handle day‑to‑day fleet coordination tasks, including scheduling maintenance, processing fuel card requests, and updating toll records.
• Maintain accurate vehicle records such as licenses, registrations, and insurance documents.
• Assist with vehicle rentals and purchase/disposal paperwork, escalating complex issues to senior staff.
• Communicate with drivers and vendors to coordinate services and resolve minor issues.
• Prepare basic reports on fleet usage, expenses, and compliance for internal review.
• Communicate compliance reminders and maintenance needs to drivers.

Requirements

• Apply foundational knowledge of fleet processes such as maintenance scheduling, fuel card management, toll tracking, and recordkeeping.
• High school diploma or equivalent required; post‑secondary or vocational certification preferred.
• CAFS Certified Automotive Fleet Specialist certification preferred.
• Minimum of one year of relevant experience.
• Prior customer service or sales experience to manage driver relations and vendor interactions.
• Experience as a dispatcher, warehouse manager, or logistics coordinator for routing, scheduling, and inventory management.
• Military logistics experience managing unit motor pools or equipment.
• Shop technician or fleet mechanic helper experience valued for understanding repair timelines.
• Knowledge of environmental and safety policies and procedures.
• Ability to work within tight deadlines, independently and as part of a team.
• Willingness to travel to job sites as needed.
• Strong interpersonal skills for managing customer relationships.
• Proficient with Microsoft Office (Excel, Word, PowerPoint, Outlook) and Teams.
• Strong organization skills to coordinate multiple tasks and deliverables.
• Motivated self‑starter with goal‑orientation and strong problem‑solving abilities.
• Coachable, responsive to direction, and eager to learn about the company and renewables.
