Permit Administrative Clerk

Description

The role involves managing permits, coordinating with authorities having jurisdiction, scheduling inspections, communicating with customers, tracking expenses, and supporting the service manager to ensure jobs are ready for billing and close‑out.

• Submit, track, and log electrical permits for residential EV charger projects.
• Research and compile AHJ (city/county) requirements into permit packets.
• Schedule and coordinate electrical inspections with customers, technicians, and authorities.
• Monitor inspection results, arrange re‑inspections, and close out jobs accurately.
• Provide professional updates on permit status and inspection timelines via phone, email, or virtual tools.
• Track permit fees and project expenses, upload receipts, and support finance documentation.
• Maintain organized digital job files including permits, approvals, photos, and notes.
• Enter job details into internal systems (e.g., FieldEdge) and ensure jobs are admin‑ready for billing.
• Assist the Service Manager with daily administrative tasks to prevent scheduling or billing delays.

Requirements

The ideal candidate has at least two years of administrative support experience, strong attention to detail, excellent phone and email communication, and the ability to handle a high volume of permits and customer interactions while staying calm under pressure.

• Minimum 2 years of administrative support experience, preferably in construction, permitting, or service.
• Exceptional attention to detail and follow‑through.
• Strong verbal and written communication skills.
• Ability to manage high volumes of permits, inspections, and customer interactions daily.
• Proficiency with multiple systems, portals, and spreadsheets; FieldEdge experience a plus.
• Highly organized, reliable, and calm under pressure; proactive problem‑solver and team player.
• Experience with electrical or construction permits.
• Familiarity with Georgia AHJs.
• Prior support of service managers, dispatchers, or operations teams.
• Knowledge of FieldEdge, Microsoft 365, or similar platforms.
