Operations Coordinator

Description

• Run weekly over budget reports and distribute to appropriate manager
• Support and enforce all company standards including those mandated by internal audit
• Prepare monthly Concur expense reports
• Perform a variety of administrative tasks for the Community Planning Department to include maintaining calendar & scheduling appointments; preparing letters of credit, correspondence, meeting minutes, reports, & other documents; answering telephone inquiries; greeting visitors; processing permits; maintaining files & records; purchasing office supplies & equipment; processing incoming & outgoing mail; overbudget report review
• Production of contracts, purchase orders, change orders & contract Exhibit B’s (in Excel) at the direction of the Community Project Manager
• Update & maintain accurate project development budgets at the direction of the Community Project Manager
• Run monthly vendor insurance reports
• Ensure that signing limit protocols are followed for all contracts, purchase orders, change orders, & invoices
• Coordinate travel arrangements

Requirements

• Proficient computer skills, including Microsoft Office with a focus on Excel/Word
• Willingness to contribute in a cross-functional team environment, with many members, diverse skills, and changing priorities
• Accounting or bookkeeping experience
• Invoice coding, & processing
• 1+ year of general administrative experience
• Ability to exhibit a high level of confidentiality
• Development/construction administrative experience
• Simple accounting or construction-related math
• Must be able to identify and resolve problems in a timely manner
• Excellent interpersonal skills
• Willingness to learn how to use Google Earth & Microsoft Project
• Excellent organizational skills
• Must be able to gather and analyze information skillfully
• Written communication, verbal communication, & mathematical skills
