The Dispatch Coordinator will maintain the daily schedules of Service Technicians and handle incoming service calls. You will dispatch technicians, keep the customer database up to date, and inform customers and internal partners about service delivery, lead times, and dispatch schedules. Clear and concise communication will be used to deliver top-quality, cost-efficient customer service.
- Take incoming customer calls and schedule/coordinate service calls.
- Dispatch service technicians for each call.
- Monitor technicians' progress and adjust dispatches as needed.
- Respond to overnight messages.
- Document all activity and update internal partners (service, account, purchasing teams, managers).
- Create dispatch tickets for all service calls.
- Debrief service technicians after each call.
- Maintain dispatch boards and schedules.
- Forecast workload 2–3 days ahead.
- Maintain on-call schedules for service technicians.
- Plan, schedule, and manage customer preventative maintenance and work orders by priority.
- Review work order backlog regularly.
- Monitor and maintain work order network.
- Dispatch and coordinate driver deliveries and equipment to sites or technicians.
- Frequently sit, stand, walk, hear, see, and talk.
- May need to visit customer sites or ride along with field technicians.

- Experience managing and prioritizing multiple projects.
- Strong organizational skills.
- Geographical knowledge of service area or map-reading skills.
- Experience with FM facility maintenance.
- Industry knowledge (recommended, not required).
- Self-sufficient; works with minimal supervision.
- High school diploma or GED.
- 3–5 years dispatch experience.
- Proficient in MS Office (Word, Excel, Outlook).
- Honest team player; growth-oriented; safety-focused.
- Require close vision for computer work.
- Light to moderate lifting may be required.
