The Payroll & Benefits Manager (U.S. & Canada) is responsible for accurate, compliant, and timely administration of payroll and employee benefit programs across the United States and Canada. The role ensures full compliance with federal, state, provincial, and local regulations while delivering a seamless employee experience. It partners closely with HR, Finance, Legal, and external vendors to optimize payroll and benefits processes and support organizational objectives.
- Oversee end‑to‑end payroll processing for U.S. and Canada employees, ensuring accuracy, timeliness, and compliance.
- Manage payroll audits, reconciliations, and reporting.
- Ensure compliance with federal, state/provincial, and local payroll regulations.
- Partner with Finance on payroll accounting, accruals, and general‑ledger reconciliation.
- Manage payroll vendors and service providers such as ADP and Workday.
- Lead payroll‑related projects including system implementations, upgrades, and integrations.
- Handle workers’ compensation reporting and payments.
- Manage all employee benefit programs (health, dental, vision, life, disability, retirement, wellness).
- Lead benefits administration through Workday Benefits implementation, handling plan configuration and data validation.
- Ensure compliance with ERISA, ACA, COBRA, HIPAA, and Canadian provincial benefits regulations.
- Partner with brokers, carriers, and third‑party administrators to align integrations and data feeds.
- Manage post‑implementation stabilization and continuous improvement.
- Monitor benefits costs and collaborate with leadership on plan design and optimization.
- Resolve complex employee benefits issues and escalations.
- Maintain payroll and benefits data integrity within HRIS systems.
- Identify and implement process improvements to enhance efficiency and accuracy.
- Develop and maintain standard operating procedures and internal controls.
- Support data reporting, analytics, and audits.
- Maintain high level of confidentiality and integrity.
- Provide strong customer service and manage multiple stakeholder relationships.
- Manage competing priorities and meet tight deadlines.

The role primarily operates in a professional office environment, using standard office equipment and software. While most duties are performed at a desk, occasional in‑person interactions require strong interpersonal skills and a polished, professional demeanor. The work environment is collaborative and dynamic, offering opportunities to engage across departments and with external clients.
The position involves prolonged periods of sitting, computer use, and operation of standard office equipment, with occasional movement such as lifting items up to 10 pounds, bending, reaching, and standing to retrieve documents or supplies. Visual acuity for reading documents and repetitive hand and wrist movements is required, as well as occasional walking to other departments for meetings.
- Own benefits testing, open enrollment readiness, and employee communications during transition.
- Hold a bachelor’s degree in HR, Finance, Accounting, Business Administration, or related field (preferred).
- Possess payroll certifications such as CPP, FPC, PCP, or CPM (highly preferred).
- Have 5–10 years of progressive payroll and benefits experience, including hands‑on U.S. and Canada payroll.
- Direct experience with payroll and/or benefits system implementations, preferably ADP to Workday.
- Strong understanding of payroll and benefits compliance across both countries.
- Experience leading payroll testing, parallel runs, and go‑live activities.
- Proficiency with Workday Payroll & Benefits (or ADP with Workday exposure).
- Experience supporting system implementations or large‑scale transitions.
- Proven ability to manage vendors and complex employee issues.
- Demonstrate exceptional attention to detail and accuracy.
- Travel up to 5 % as required.
