Workplace Experience Ambassador

Description

The Workplace Experience Professional role will ensure seamless client visit experiences at our Bengaluru site. This involves coordinating logistics, maintaining workplace readiness, and delivering hospitality that aligns with brand standards. Strong stakeholder management and operational excellence are essential to support a high‑profile client environment.

In this position you will oversee daily operations of client‑facing spaces, work closely with security, IT, and facilities teams, and ensure compliance with safety and hygiene standards. You will also generate reports and maintain standard operating procedures to keep the site audit‑ready.

• Manage end‑to‑end client visit logistics (scheduling, itineraries, room bookings, access passes, parking, refreshments).
• Coordinate with Security for visitor access compliance and emergency briefings.
• Ensure AV/IT readiness for presentations and video conferencing.
• Greet and host clients professionally to ensure a positive experience.
• Conduct daily walkthroughs of client‑facing areas to maintain readiness.
• Raise service requests and track closures for any defects affecting visits.
• Liaise with internal teams (Admin, IT, Security, EHS) and external vendors for flawless execution.
• Handle urgent Non‑PO approvals and maintain compliance documentation.
• Ensure adherence to EHS protocols, safety briefings, and evacuation procedures.
• Maintain hygiene and statutory compliance in client zones.
• Prepare daily readiness reports, visit summaries, and MIS dashboards.
• Maintain SOPs, checklists, and audit readiness for client visits.

Requirements

Candidates should hold a bachelor’s degree in hospitality, facilities management, or a related field, and have 2–5 years of experience in workplace operations, hospitality, or client services. Proficiency with CAFM tools, visitor management systems, and MS Office, along with strong communication and attention‑to‑detail, is required.

• Familiarity with CAFM tools and visitor management systems.
• Strong communication and client‑handling skills; operational rigor and attention to detail.
• Basic technical knowledge of AV/VC setups; vendor management and budget awareness.
• Proficiency in MS Office.
• Preferred: Hospitality/Front Office certification; basic EHS/Fire Safety awareness.
