Plan and coordinate DIRO Program Review activities including schedule creation, coordination with ACO leadership and DARPA PMs on briefings and information requests, and production of required materials.
Provide knowledge management support including comprehensive record keeping and archive management (hardcopy and electronic), including compilation, retention, logging, indexing, retrieval, and storage of records, presentations, and ACO files; storage and maintenance of data, documents, and files on the ACO server; storage, recovery, and reproduction of unclassified, controlled, and classified documents; records search and analysis to respond to information requests; and coordination of records collection and storage with the Component Records Management Officer. This includes reviewing all applicable DoD and DARPA instructions, guides, and policies to ensure compliance with records management procedures.
Collaborate with the Information Technology Directorate (ITD) and ACO leadership to utilize and implement new tools and systems as they become available, including classified SharePoint creation, additional Microsoft Office tools, or DARPA-specific capabilities that may be valuable to ACO.
Perform general office support including processing requests and tracking the status of DARPA Information Technology Directorate (ITD) equipment and services, greeting and escorting visitors in accordance with DARPA guidelines, and coordinating DARPA badge and Common Access Card (CAC) issuances and renewals, office moves, and in/out processing of both Government and SETA office staff. Other general administrative and professional office support performed as required.
Coordinate domestic and international travel for the OD, DD, ADPM, Program Analyst (PA), and DARPA PMs and prepare all associated travel documents in accordance with DARPA guidelines using the Defense Travel System (DTS), including drafting and routing required memorandum(s) in support of official travel. Proficient use of DTS and compliance with the Joint Travel Regulations (JTR) is required.
Manage and coordinate program documentation repositories to ensure compatibility with technical and programmatic goals and compliance with DARPA and ACO policies and procedures.
Maintain ACO leadership calendars by creating and accepting meeting invitations, coordinating visit requests, and de-conflicting calendar events, including managing emails, telephone calls, faxes, and other messages to assist in coordinating the schedules, missions, and suspenses for the Office Director (OD), Deputy Directors (DDs), Assistant Deputy Program Manager (ADPM), and DARPA Program Managers (PMs).
Track and coordinate all taskers, drills, and exercises within ACO to ensure no deadlines are missed, including taskers assigned to the office from external sources or from ACO office leadership to Program Managers (PMs). This includes office program reviews, RDocs reviews, Inspector General/Government Accountability Office (IG/GAO) responses, congressional events, invitations, media inquiries, speaking events, Freedom of Information Act (FOIA) requests, and responses to DIRO requests for information.
Plan and coordinate program documentation activities with rapid availability to the OD, DD, ADPM, PA, and DARPA PMs to ensure compatibility with technical and programmatic goals.
Coordinate with relevant points of contact to reserve facilities, organize logistical support, and host DARPA-sponsored meetings, events, conferences, program experiments, and tests, including technical conferences, strategic off-site events, executive meetings, technology demonstrations, workshops, ad hoc special projects, studies, assessments, and showcase events both on-site and off-site.
Research and organize read-ahead materials for meetings and coordinate security clearances as necessary.
Maintain file structures on both classified and unclassified systems organized for easy access and retrieval of ACO documentation and review the file structure and associated documents on a quarterly basis to ensure proper retention and enable potential reorganizing of documents due to priority shifts.
