Facility Executive Soft Services

Description

As a Facility Executive – Soft Services you will oversee day‑to‑day soft‑services operations, ensure smooth facility functioning and maintain high standards of service delivery for our clients. The role supports the Facility Manager and Assistant Facility Manager in administrative, security and service matters while developing procedures that simplify and improve work methods.

• Oversee day‑to‑day administration, generate reports, and manage stock trackers while assisting the Facility Manager and Assistant Facility Manager.
• Develop and implement procedures that improve accuracy, reliability, and simplification of facility management work methods.
• Ensure adequate supply of consumables and materials, maintain appropriate stock levels, and manage supply and service contracts.
• Oversee front‑desk operations, serve as primary contact for reception concerns, and coordinate client event itineraries and F&B arrangements.
• Foster teamwork and efficiency in café operations during peak periods.
• Maintain petty cash for facility operations and process vendor invoices in accordance with finance procedures.
• Conduct statutory compliance checks on all vendor invoices.
• Routinely inspect soft‑service delivery, set performance targets, and develop reception‑related policies and procedures.
• Conduct daily facility walk‑arounds and provide after‑hours assistance as needed.
• Update and implement Emergency Response plans, conduct drills, and manage operational audits and compliance.
• Escalate incidents and problems promptly to ensure resolution and continuity of service.
• Lead the team to meet or exceed best‑practice service standards, adhering to policies, procedures, and compliance deadlines.
