The role will require getting involved with every department, as well as interacting with both the company boards and employees. It will also, on occasion, require working from our reginal offices and sites.

As the Digital and Administration Assistant it will be your responsibility to support the Head of Department to ensure that there are robust digital and administration services in place across the organisation that mitigate risk and support continued innovation and growth.

Working closely with the Head of Department you will be expected to take a lead in ensuring the day to operations of the Digital and Administration team are responsive to business requirements and enable employees across the business to do their jobs effectively.

  • Setting up of 4G routers and Starlink systems
  • Supporting the Head of Department with new starter inductions.
  • To assist with general administration tasks as required (including printing, filing, scanning, incoming calls cover)
  • Building of SharePoint sites and ongoing SharePoint administration support
  • Setting up of company laptops and mobile phones for employees
  • Delivering tools, frameworks and processes to support to the Group to continuously improve and increase digital maturity.
  • Ensures Stonewood is adhering to all relevant standards, practices and laws.
  • Enables Stonewood to operate as effectively and efficiently as possible.
  • Contributing to administration functions to ensure we a seamless service to all of our internal and external stakeholders.
  • Support to ensure we have robust cybersecurity measures and compliance with data protection regulations.
  • Work closely with our IT support company to ensure we are getting value for money and service requests are being dealt with effectively.
  • Build strong relationships with divisions and departments to ensure our digital and administration services is aligned to business objectives.
  • Support with the tracking and reporting of system performance, risks, and the success of digital initiatives against business targets.
  • Supporting the Head of Department to promote digital improvement across the organisation, particularly equipping all employees with the skills and systems to use our systems effectively.
  • Supports Stonewood to achieve its business goal and objectives.
  • Support the Head of Department with digital change, improvement and implementing new technologies to improve services and modernise business processes.
  • Be the first responder to day-to-day requests from the business on all things relating to digital hardware and software that fall outside of the remit of our IT support company.
  • Taking a lead role in dealing with the day-to-day operations of the Digital and Administration service and, in partnership with our IT support company, facilitate requests for support as efficiently as possible.

  • Experience in providing digital/technology services and/or, administration functions
  • Experience of dealing with the management of standard hardware and software infrastructure e.g.
  • Excellent analytical, critical thinking and problem-solving skills.
  • Experience in a customer facing role (client facing or internal customers) dealing with requests and enquiries.
  • Strong interpersonal skills and leadership abilities are a must: this is a wide-ranging role that interacts with every facet of the company, and you will be expected to be and ambassador for Stonewood.
  • Highly organised with effective time management skills and the ability to multi-task, structure your work and meet deadlines.
  • Exceptional communication skills both written and oral in a variety of styles and settings.
  • Experience of supporting business change and improvement projects and initiatives.
  • An IT, Digital or Administration qualification
  • Digital archiving and date storage solutions in general
  • Ability to learn quickly and adapt to change.
  • A team player who is comfortable working independently and as part of multi department team.
