The Property Administrator supports the Property Management Team by performing administrative functions, ensuring a high level of professionalism, and responding promptly to tenant requests and concerns.
Daily duties include providing phone support, typing reports, filing and distributing correspondence, scheduling meetings and special events, assisting with lease administration and insurance documentation, and preparing bid proposals, service contracts, and approved invoices.
The role ensures timely completion of contract and insurance certificate information in the contract administration software, tracks expirations, monitors the property maintenance work order system, and generates monthly status reports for the Property Manager.
It also maintains purchase order, lease, and contract filing systems, promotes positive tenant relationships, tracks service calls, and assists with monthly and quarterly management reports, annual budget preparation, and processing of staff hours, tenant bill‑back invoices, expense reports, meter readings, and check requests.
Key competencies include communication proficiency, customer focus, strong organization, interpersonal skills, initiative, and the ability to multitask effectively.
Qualifications require a high school diploma or GED (Bachelor’s degree preferred), customer service experience, proficiency with the Microsoft Office Suite, and the ability to follow direction, interact professionally with decision makers, and handle confidential information.
The position operates in a professional office environment using standard equipment, and may require standing, walking, using stairs or ladders, traveling between buildings, and remaining seated or standing for most of the workday.
