Accounts Payable Specialist

The Accounts Payable Specialist will be part of a team under the supervision of the Director of Finance & Accounting. The Accounts Payable Specialist will manage accounts payable using Deltek Vantagepoint. This position requires full ownership of the accounts payable process from vendor set up to vendor payment.

• Receive employee expenses and review and organize receipts
• Prepare and distribute employee reimbursements via check or petty cash
• Weekly Timesheet collection, input and review as needed
• Monthly Billing preparation assistance
• Input employee expense reports with general ledger allocation in company ERP system (Vantagepoint)
• Receive invoices, request payment approvals for invoices as needed, and input invoices in company ERP system (Vantagepoint)
• Review and manage the AP email to ensure invoices are processed timely
• Prepare and distribute billing reports to project managers, pull project file folders for billing and ensure backup is included
• Prepare and execute weekly payments via check and ACH
• Monthly bank reconciliations
• Review and manage the vendor ledger to ensure vendor payments are made timely
• Scan and save final billing for distribution to clients
• File project folders

• Filing, scanning, and copying are a requirement
• Strong organizational, analytical and recording skills
• Effective communication skills, oral and written
• Attention to detail and ability to maintain accurate records
• 2+ years of experience in accounting environment
• Strong understanding of General Ledger system and Accounts Payable processing
• High school diploma or equivalent. (required)
• Ability to work independently and as part of a team
• Analytical and problem-solving skills
• Strong interpersonal and organizational skills
• Must have a valid driver’s license and be at least 18 years of age
• Proficient in Microsoft Office suite
• Detail oriented
