The Office Coordinator will oversee daily front‑office operations, maintain a professional workplace, and support onboarding and internal coordination as needed. The position requires managing multiple priorities, collaborating with regional vendors, and providing responsive administrative assistance that adapts to evolving business needs.
- Serve as primary contact via centralized VoIP system, answering, screening, and routing calls for all six offices.
- Maintain consistent professional brand voice across regions for clients and contractors.
- Distribute new project inquiries, proposals, and RFPs to appropriate project managers or department heads.
- Coordinate shipping of geotechnical material samples between sites, offices, and labs.
- Oversee plotting and distribution of large-format site plans, drawings, and permit sets.
- Liaise with courier and shipping vendors to ensure timely delivery of engineering materials.
- Monitor and order office supplies, field consumables, and stationery for all locations, ensuring cost efficiency and brand consistency.
- Manage relationships with regional vendors such as janitorial, maintenance, and equipment service providers.
- Provide administrative support to head office and regional engineering teams, including digital filing, report formatting, and travel coordination.
